BackgroundThe Oxford University Clinical Research Unit (OUCRU) is a large-scale clinical and public health research unit, with sites offices in Ho Chi Minh City and Hanoi in Vietnam, Jakarta in Indonesia and Kathmandu in Nepal. In Vietnam, we are hosted by the Hospital of Tropical Diseases (HTD) in Ho Chi Minh City, and the National Hospital for Tropical Diseases (NHTD) in Hanoi. OUCRU Nepal closely collaborates with the National Academy of Medical Sciences in Kathmandu, and OUCRU Indonesia exists in partnership with the University of Indonesia. As a Wellcome Trust Africa Asia Programme, we have received considerable support from the Wellcome Trust since our establishment in 1991.
OUCRU’s vision is to have local, regional and global impact on health by leading a locally driven research programme on infectious diseases in Southeast Asia. Priority is given to health issues important to the hospitals where we work, and to the countries as a whole where we operate: Vietnam, Indonesia and Nepal.  All work is intended not only to benefit the patients seen daily at our host hospitals, but also to help improve patient care.

Job summaryThe Finance Administrative Assistant provides essential administrative support to the Finance Department, ensuring smooth operations and compliance with OUCRU policies and SOPs. The role involves managing financial records, assisting the Accounts Payable team, supporting banking and audit activities, and performing other administrative tasks as required.
Key responsibilities and tasksThe post holder will be responsible for:
 
Administrative Support
– Sort, scan, and archive financial records for audit and compliance purposes.
– Maintain organised filing systems (both physical and electronic) to ensure easy retrieval of documents.
– Assist with preparation of documentation for internal and external audits.
 
Accounts Payable Assistance
– Support the AP team with data entry and invoice processing.
– Follow up on outstanding AP matters with vendors and internal stakeholders.
– Ensure accuracy and timeliness in AP-related administrative tasks.
 
Banking Support
– Assist with simple banking matters such as preparing payment instructions and liaising with banks for routine queries.
– Support reconciliation of banking records when required.
 
Audit & Compliance
– Provide administrative support during audit reviews and compliance checks.
– Ensure financial records are maintained in line with OUCRU policies, SOPs, and regulatory requirements.
 
Other Duties
– Undertake additional administrative tasks as assigned by the AP Supervisor, Head of Compliance or CFO.
– Contribute to continuous improvement initiatives within the Finance Department.
– Accomplish other assigned tasks as required
 
Selection criteria– Prior experience in administrative or finance support roles (minimum 1–2 years).
– Familiarity with administrative (essential) and accounting (desirable) tasks.
– Experience with document management systems and office software (MS Office, Excel, Word, Outlook).
– Proficient in Vietnamese and English communication, verbal and written, to the extent of interacting with all key stakeholders.
– Ability to work collaboratively with team and wider-OUCRU colleagues in resolving accounts payable and related issues 
Benefits– Contracted salary:
* Grade: RS2/IC2
* Salary scale: $656 gross per month
– Other responsibilities and benefits are based on the Viet Nam Labor Law.
